Build your event plan.

Pre-event milestones count back from the start; follow-up counts from the end. All offsets are calendar days. Set earlier deadlines where organizer requirements demand it.

Sales owns the conversation.

Account relevance, meetings, discovery, buyer commitments and opportunity progression.

Marketing owns the experience.

Audience offer, evidence, event presence, useful content and relevant follow-up.

Growth owns the measurement and handoff.

Campaign operations, experiments, CRM matching, routing and economics. If there is no growth team, assign these to RevOps or marketing operations.

Useful tools for the actual work.

Event review calculator

Measure the handoff.

Use unique held conversations, not scans or invitations. Use the same reporting window and counting rules for all inputs.

Accepted next steps are a subset of qualified conversations. A qualified conversation has relevant account fit and a confirmed need or explicit research interest. These ratios show process performance, not revenue ROI. Include staff time consistently when comparing events.

A clean handoff beats a large spreadsheet.

  1. Capture business context: account, relevant facility, role, problem, readiness, agreed channel and requested next step. Do not include patient information.
  2. Route by relationship: existing customer to its owner, partner to partnerships, relevant prospect to sales, exploratory interest to suitable nurture.
  3. Keep attribution honest: label new opportunities sourced by the event separately from existing opportunities the event helped progress. Never add both totals together as new pipeline.
  4. Review later: at 30 days, report progress and unresolved decisions. Continue 60/90-day cohort reviews where sales cycles require them; pipeline is not recognized revenue.

Plan around your organizer’s rules. Meeting access, app launch dates, lead retrieval and export rights differ by event. Official resources such as HLTH networking and HIMSS exhibitor resources illustrate why teams should verify their own event’s current requirements. This playbook is an editorial operating plan, not either organizer’s official schedule.
